Refunds and cancellations

This notice covers classroom programmes, evening clinics, Sunday studios, and private pattern reviews at System Pilotcore Academy. It does not cover goods we do not sell, shipping, or software subscriptions. Last updated 19 August 2026.

How to ask

Write to desk@system-pilotcore.click or telephone (02)2221494 with your name, the programme, and the dates on your confirmation email. Refund requests are handled by the Sampanthawong desk, not through this website’s form as a payment reversal.

Eligibility and timeframe

If you cancel a confirmed Chart Pattern Bootcamp or Continuation Structures Evening at least 14 days before the first taught hour, we refund the tuition in full. Cancellations received 13 to 7 days before the first hour receive 50% of tuition. Inside 7 days, tuition is non-refundable unless we cancel the sitting.

Sunday reversal studios may be cancelled for a full refund up to 72 hours before 13:00 on the studio day. After that, the fee is non-refundable because the sealed pack is printed to headcount.

Private reviews may be cancelled for a full refund up to 48 hours before the appointment. Inside 48 hours the session fee is non-refundable, though we will try to offer one reschedule inside 30 days if the instructor’s diary allows.

When we cancel

If the academy cancels a sitting (instructor illness, room issue, or fewer than four confirmed students for a group class), you receive a full refund or a transfer to the next listed date, at your choice. We aim to email you at least 5 days before a group sitting, and at least 24 hours before a private review.

Deposits

We may ask for a 2,000 THB deposit to hold a bootcamp seat after email confirmation. That deposit is part of tuition, not an extra fee. It follows the same 14-day / 7-day timetable as the rest of the bootcamp fee. We do not take deposits through this site.

No-shows

If you do not attend and do not cancel in line with the windows above, the sitting is treated as delivered. We will not refund unused hours because a classmate’s place cannot be filled at the door.

Arriving late or leaving early

Late arrival does not extend the day. Leaving early does not create a partial refund. If you miss Saturday one of the bootcamp, you may sit the next published Saturday-one with a later cohort if a seat exists; that transfer is a courtesy, not a right, and unused later Saturdays of the original cohort are not refunded separately.

Work already started

Once a private review has begun (including the pre-read of charts you sent), that session is not refundable. Group classes that have completed at least one taught hour follow the cancellation windows measured from the first hour, not from the hour you personally arrived.

Printed materials

Unmarked chart packs handed to you in class are yours to keep and are not returnable for cash. If you cancel before any pack is issued, you are not charged for materials. Commented homework keys are included in bootcamp tuition; skipping homework does not create a refund.

Rescheduling

One reschedule of a private review is allowed if you write more than 48 hours ahead. Group programmes can be moved to a later listed sitting only if that sitting has an open seat and you write more than 14 days ahead. We do not hold open-ended credits.

Processing time and method

Approved refunds are returned by the same bank transfer or cash method used to pay the studio, within 10 business days of written approval. We do not refund onto cards through this website because this website does not collect payment.

Exceptions

If a documented medical emergency or government travel restriction prevents attendance, write to the desk. We may offer a transfer to the next sitting or a full refund at our discretion. This is the only exception we advertise; it is not a guarantee for every circumstance.
